Request Intake & Urgency Classification

The agent receives maintenance requests and assigns urgency based on impact: emergency (safety), urgent (property damage risk), routine (regular maintenance).

Ingest requests from email, SMS, tenant portal
Extract: property, issue type, tenant contact, description
Classify urgency: emergency (no heat, water damage), urgent (broken AC), routine (filter, paint)
Score: safety risk, financial risk, tenant impact

Contractor Assignment & SMS Dispatch

Request is routed to the appropriate contractor based on type and availability. SMS is sent immediately.

Determine contractor type: plumber, electrician, HVAC, general
Check contractor availability (not already on 2+ jobs)
Send SMS: '[Property] [Issue] [URGENT]. Tenant: [Contact]. Can you take today?'
Set SLA: emergency = 2 hours, urgent = 24 hours, routine = 5 days

Work Order Logging & Progress Tracking

All work orders are logged to a live tracking sheet. Status is updated as contractor provides updates.

Create work order: property, issue, contractor, date assigned, due date
Log contractor acceptance/decline
Track progress: in progress, completed, pending payment
Alert if SLA breached: 'Urgent job for [Property] overdue [X hours]'
